GEM NZ - Baseplate Migration


Deals

Open Deals

Once the migration from Baseplate to GEM happens your data will be stored under a workflow called "Baseplate Import". On the main toolbar you can click on "Deals" and find the workflow with the relevant name.

Settled Deals

Deals that were completed (settled or paid) on Baseplate will be available on GEM, however you need to filter for "WON" deals. In order to filter deals make sure you are under Baseplate Import workflow and go to the top right of your screen and click filters.

If you already have a filter for "WON" deals just click on top of it, otherwise you can click on add new.

If you need to add the filter please: 

  1. Select "Current status" 
  2. Select "won" option
  3. Name your filter/ For example "Won Deals"
  4. Select share so other team members can use it 
  5. Click "Apply"

Once you apply the filter you will see all your settled deals under settled stage (last column on the workflow).

Tasks

Once the migration from Baseplate to GEM happens you will find tasks for fixed expiry date on settled loans. On the main toolbar you can click on "Tasks" and you will go to your tasks' list on GEM.

Tasks - Fixed Expiry Date

When doing the data migration we looked at settlement date and the fix term of settled deals on Baseplate. We then created tasks called Fixed Rate Expiry that are due 60 days prior rate expiry date. So for example if a deal has settlement date 04/08/2016 and a 3 years fixed rate the task due date will be 04/06/2019.

Tasks - Assigned to Others  

Once you click on "Tasks" tab on the main toolbar you will see tasks assigned to you (or the account you are logged in with). If you are an admin and wish to see all tasks or tasks specific to a team member under your organisation you can use filters.

Go to "Tasks" tab and the click "Filters"

In order to filter tasks to specific team members or to check all tasks under your organisation please:

  1. Click "add new"
  2. Select "Assigned to" option then select all the members you want to see the tasks OR select them all
  3. Name your filter. For example "All Tasks"
  4. Select share so other team members can use it 
  5. Click "Apply"

Next time you go to Tasks > filters you should have this saved as per name you have entered. It will be available under you filters' list.
